What are outsourced accounting services and how can they benefit my business?
We perform most of the conversion tasks in the background while your staff continues to use the old system for in-process work if needed.
In some cases, we convert in batches so you can begin using the new software incrementally without waiting for everything to be completed at once.
What specific tasks will Taxfyle handle during the conversion?
We specialized software mapping tools to transfer client returns from your current tax software (e.g., CCH, Drake, Intuit, Thomson Reuters) into the new platform.
The Tax Pros review the converted data, fix any fields not automatically mapped (especially for states, multi-state returns, or unusual forms), and ensure all relevant information is accurately transferred.
We provide timeline management, regular status updates, and coordinate with your staff on any missing or incomplete data.
How involved does my firm need to be?
Your team is typically responsible for providing access/logins to both the old and new software (if necessary), sharing any required credentials or data files, and clarifying any firm-specific settings or customizations.
We’ll periodically ask for your input to confirm the accuracy of certain data points or to handle any firm-specific workflows. Otherwise, we manage the bulk of the work behind the scenes.
How does Taxfyle prioritize data integrity during the transfer?
We use SOC 2 and ISO 27001 certified methods and also comply with GDPR standards to manage your data securely.
Our data team utilizes mapping tools that minimize the chance of errors, and the Tax Pros manually review critical forms, schedules, and states to confirm accuracy post-migration.
What happens if there are errors in the migration?
The Pros perform a comprehensive validation step. If discrepancies are found, we correct them before delivering the final files.
We ask you to finalize and confirm once we’ve delivered your data. This double-check ensures any firm-specific nuances are captured.

How does Taxfyle handle sensitive client information?
All data transfers occur via encrypted channels. Any credentials or data are stored in secure, access-controlled systems.
Only the assigned Pros and data team members working on your project have authorization to view your data.
Does Taxfyle create a backup before starting the conversion?
Yes, we make a temporary backup of your provided data to ensure we can revert if any issues arise. This backup is stored in a secure environment with restricted access. Upon completion, this information will be deleted.
If there is a backup, how does my firm ensure that information has been deleted and purged by your Pro?
After finalizing the conversion and upon your written sign-off, we delete or securely archive the backup in compliance with data retention policies (and any contractual or regulatory requirements). We can also provide a certificate of data destruction if requested.
Are my Pros familiar with my firm’s current software and the one we’re transitioning to?
Yes. Our team and the Tax Pros have experience with CCH Axcess Tax, CCH ProSystem, Drake, Intuit (Lacerte, ProConnect), and Thomson Reuters (UltraTax) platforms. They stay current on updates so that migrations run smoothly.
Do my Pros need a user login for both software?
In most cases, yes. If we require direct access, we’ll coordinate with you to set up secure credentials. Alternatively, if your system is server-based, we can work through a secure remote connection. We typically use a remote desktop or secure VPN session to access your on-premise (server-based) software. This approach ensures a smooth data export and import process.
How do you ensure integrations with other tools (e.g., e-filing platforms, client portals) are properly set up?
We identify key integrations during onboarding, such as e-filing add-ons or client portals. If the new software requires API keys or credentials, we’ll work with your team to configure them. We validate that these connections are live and functional, but any specialized third-party integrations may require your vendor’s support or separate review.
What is the expected timeline for the full conversion?
Typically, we can fully convert a firm’s data within four to eight weeks, depending on factors like the volume of returns and how quickly you provide all necessary data and credentials.
Will Taxfyle provide staff training on the new software?
Yes, the Tax Pros can receive a short orientation on how to locate converted data, manage states, and validate returns in the new software.
If you require more extensive training (beyond the scope of conversion), we can arrange a custom training package or refer you to the software provider’s resources.
Is ongoing support included after the conversion is complete?
We typically offer a support window of 14 to 30 days to address issues or minor discrepancies found. For ongoing services or additional training, we can include this in a managed services agreement or an add-on package.
Who do we contact if something goes wrong post-conversion?
We assign you an account manager or point of contact. You can reach out via email or phone for any post-conversion questions or concerns. If needed, your query is escalated to the data team or tax pros who handled your project.
Is pricing based on firm size, data volume, or a flat rate?
We offer flexible tiers (basic, intermediate, complex), factoring in return volume, complexity (e.g., multi-state, multiple entities), and desired turnaround. On average our Pricing for individual return conversion is $100 and for business entities the fee is $300.
For very large firms or specialized needs, we can create a custom quote.
Are there any hidden fees, like extra support hours or emergency fixes?
We outline all costs in your managed services contract. If you need expedited (emergency) turnarounds, that’s typically an add-on fee we clarify up front.
What does the managed services contract include — and what’s considered outside the scope?
Included: Data migration, basic QA, minor adjustments for states, and a short post-conversion support period.
Outside Scope: Substantial data cleanup (e.g., missing prior-year returns), ongoing maintenance. These can be added as custom services if needed.
What happens if we’re not satisfied with the conversion?
We’ll work with you during the post-conversion support window to fix any critical issues or data discrepancies. If a resolution is not possible, our contract includes a dispute resolution or remediation clause. We stand by the quality of our processes and will take steps to address any concerns that arise.
